3 Easy Ways to Keep Everyone in Recruiting on the Same Page!

If your agency is anything like mine…keeping everyone unified and on top of everything going on in the backgrounds and recruiting process can be a handful.  😖


Well, lucky for you, I’ve got the solution and the best part is, you can start implementing these fixes today.  Here are three ridiculously easy ways to help keep everyone in the recruiting unit informed, on the same page, and feeling a little closer to one another…keep reading! 👀


Hey everyone, it’s Tom Sye your Police Marketing FTO, and this week, we’re talking about the nearly impossible task of trying to keep everyone in your recruiting and background units on the same page.  Good luck, right?  I used to feel that exact same way. 👍


Look, there’s a lot of moving parts in the recruiting business and with responsibilities and hiring decisions spread out all over the place, it’s easy to lose track of it all and to have everyone simply walking around in the dark about things. 🧟‍♂️🧟‍♀️


Well, if you want to be successful in recruiting like it’s 2025 and filling those vacancies of yours, you need to have everyone on your team in the know and on the same page.  Here’s the good news…I’ve got three really easy ways to make that happen, all without spending a single penny or having to go to an expensive business retreat to figure it out. 🤯

#1 Weekly unit meetings


I know…just what you need…another meeting.  🙄


But if you want to be successful with your police recruiting a weekly meeting with everyone involved in the recruiting and background process is critical.  Now, these don’t have to be an all-day affair…an hour, in most cases, should get it done. ⏱️


During this meeting you should discuss how many openings you have, who you have in backgrounds and where they’re at in the process.  Talk about when you’re testing again, how many applicants you expect next month, what’s working well with recruiting and social media, what isn’t working well with recruiting and social media, what kind of troubles are people having during the hiring process...and anything else that everyone in the unit needs to be aware of.  🗣️


Encourage everyone to share their piece of the puzzle.   This allows the entire unit to have a more complete picture of exactly what is going on and in turn allows new ideas to develop, motivation levels improve because everyone feels they are important and ‘in the know’, and it gives your entire unit the information they need to answer any questions, at any time, from the Chief, Sheriff, Director, or anyone else who comes asking questions and doesn’t want to hear, “I don’t know”.  💪


#2 Group text chat


Admitidly, this may be difficult for those of you at a larger agency with 25, 30, or more people in your unit as the text notifications may start to resemble an old time Vegas slot machine pay out…but it can still be done. 🎰 


Group texts are another great way to keep everyone informed as to how things are going such as how many showed up to testing and how many passed, any cool things they saw at another table at the job fair they’re at, or even anything both good and bad that is going on with a candidate’s status in the hiring process. 🙌


These group texts keep everyone in the know, help to build a true we’re all in this together team feel and can even branch off, as I often do, into a picture of what you’re doing on your off time with your friends or family which helps to further cement bonds within the unit.  🤳


Oh…one last thing on these…if someone in your unit is not into group texts and learning what’s going on with your process, testing, or coworkers’ lives and is complaining about it…they’re probably in the wrong line of work. 💯

#3. And this is a powerful one…Lunch Table Conversations


If you are looking for the ultimate way to solve problems and keep everyone in the know, all the while building a strong cohesiveness between everyone in the unit…the lunch table is the holy grail you’ve been seeking. 💥


I can’t tell you how many times I’ve either solved problems with a piece of advice from a co-worker or helped them to do the same over the past decade by all eating together at the lunch table.  It’s such an open and conversational forum that seamlessly invites opinion and solutions and one you should definitely be using. 🍽️


While you’re eating, present a tough background that you’re working and solicit advice as to what others would do.  Brainstorm recruiting ideas or things you want to do on social media.  Talk about improving your testing process.  Anything that is holding your unit back can be solved when you get everyone together right here at this table, trust me.  Breaking bread with one another breaks down the communication barriers that unintentionally get thrown up on a daily basis in our line of work. 🧱🔨


Careful though, make sure your lunch table is a private one in your office with only people from recruiting and backgrounds sitting there.  Confidentiality is still key. 🙈🙉🙊
